How we protect your personal data.

This Privacy Policy explains how NS Dent ("we", "us", "the clinic") collects, uses, stores and protects your personal data, and the rights you have. We process personal data in accordance with the Law of Georgia on Personal Data Protection (in force since 1 March 2024) and, for patient health information, the Law of Georgia on the Rights of the Patient and the Law of Georgia on Health Care.

1. Who we are (data controller)

2. What personal data we collect

Depending on how you interact with us, we may collect:
- Identity and contact data — your name, phone number and email address.
- Appointment and enquiry data — the message you send through our contact form, your preferred service, and notes about your request.
- Health data — when you become a patient: medical and dental history, diagnoses, treatment plans, X-rays and clinical images, and consent records. This is "special category" data and receives extra protection (see section 4).
- Website and technical data — limited information needed to run the site, such as your chosen language preference and, where you consent, anonymous usage statistics (see section 6).

3. Why we use it and our legal basis

We only process personal data where the law gives us a legal basis to do so (Article 5 of the Law on Personal Data Protection):
- To answer your enquiry and arrange an appointment — on the basis of your request and steps to enter into a service agreement.
- To provide dental care, keep medical records and manage billing — to perform our agreement with you and to comply with legal obligations applicable to medical providers.
- To meet legal and regulatory duties — for example tax, accounting and healthcare record-keeping.
- For limited analytics and marketing — only with your consent, which you can withdraw at any time.
We do not use your data for automated decision-making that produces legal effects for you.

4. Health data and medical confidentiality

Information about your health is special category data. Under Article 6 of the Law on Personal Data Protection we process it only where a lawful ground applies — in our case, because it is necessary to provide you with dental care and is handled by health professionals bound by confidentiality, or on the basis of your explicit consent. Your medical records are kept confidential as required by the Law of Georgia on the Rights of the Patient and the Law of Georgia on Health Care, and are disclosed only as permitted or required by law.

5. Who we share data with

We never sell your personal data. We share it only where necessary and lawful:
- Service providers acting on our behalf (data processors) — for example dental laboratories, IT, hosting and communications providers — who are bound by contract to protect your data and use it only on our instructions.
- Public authorities — where we are required to disclose data by law (for example to courts or regulators).
All recipients are required to keep your data confidential and secure.

6. Cookies and website data

Our website uses a minimal set of technologies:
- Strictly necessary storage — needed for the site to work, such as remembering your language choice and, for staff, a secure administration session. These do not require consent.
- Analytics — if enabled, we use them only with your consent to understand, in aggregate, how the site is used; you can decline or withdraw consent at any time.
You can also control cookies through your browser settings. Disabling necessary storage may affect how the site works.

7. Marketing communications

We send direct marketing (for example reminders or offers) only where the law allows and, where required, with your prior consent (Article 12 of the Law on Personal Data Protection). You can withdraw your consent and opt out at any time — through the same channel the message was sent, or by contacting us at khalvashi.gia@gmail.com. We will stop within the period set by law.

8. International data transfers

Your data is processed in Georgia. If a provider we use stores data abroad (for example a hosting service), we transfer data only to countries that provide adequate protection or where appropriate safeguards are in place, in line with Articles 37–38 of the Law on Personal Data Protection.

9. How long we keep your data

We keep personal data only for as long as necessary for the purpose it was collected, and then delete or anonymise it. Enquiry messages are kept for a limited period; medical records and accounting documents are kept for the minimum periods required by Georgian healthcare and tax law.

10. How we protect your data

We apply appropriate technical and organisational measures to protect your data against unauthorised access, loss or disclosure, and we keep records of processing as required. If a data breach occurs that is likely to cause significant harm, we will notify the Personal Data Protection Service within 72 hours and, where required, inform affected individuals (Article 29 of the Law on Personal Data Protection).

11. Your rights

Under the Law on Personal Data Protection you have the right to:
- be informed about, and obtain access to, the data we hold about you, and receive a copy;
- have inaccurate or incomplete data corrected or updated;
- request erasure or blocking (restriction) of your data;
- object to certain processing;
- request that your data be ported to you or another controller, where applicable;
- withdraw consent at any time, without affecting processing already carried out.

12. Children's data

We treat children's pediatric dental care for minors. Where data about a minor is processed, it is provided and consented to by a parent or legal guardian, and we handle it with particular care as required by law.

13. Complaints

If you believe we have handled your data unlawfully, please contact us first so we can help. You also have the right to lodge a complaint with the supervisory authority, the Personal Data Protection Service of Georgia (https://personaldata.ge).

14. Changes to this policy

We may update this policy from time to time. The current version and its effective date are always shown on this page.
